Requirements

  • Administrative Support: Handle daily administrative tasks such as answering phones, managing emails, organizing files, and maintaining records to ensure efficient operation of the studio.

  • Facility Management: Oversee the physical space of the studio, ensuring a clean, safe, and organized environment. This includes coordinating maintenance, managing office supplies, and ensuring all areas are functional and presentable.

  • Logistical Support: Provide logistical support for studio projects, including preparing documents, assisting with project-related research, and facilitating communication between departments.

  • Guest Reception: Greet and assist visitors, ensuring a positive first impression of the studio. Handle reception duties and manage guest inquiries.

  • Equipment and Supplies: Monitor and manage office and art supplies inventory, ensuring that all departments have the necessary materials. Coordinate the procurement and maintenance of office equipment.

  • Financial Assistance: Support the finance team with basic tasks such as processing invoices, preparing expense reports, and assisting with budget tracking.

  • Event Planning: Assist in the planning and executing studio events, workshops, and meetings, ensuring they run smoothly and meet the studio's standards.

Qualifications

  • Organizational Skills: Exceptional ability to organize, prioritize, and manage tasks and schedules efficiently.

  • Communication Skills: Strong verbal and written communication abilities for clear and effective interaction with colleagues and external parties.

  • Computer Literacy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with email and calendar management tools. Knowledge of industry-specific software is a plus.

  • Attention to Detail: Keen attention to detail for accurate record-keeping, data entry, and management of office tasks.

  • Interpersonal Skills: Excellent interpersonal skills to interact positively with all levels of staff and visitors.

  • Adaptability: Flexibility to handle various tasks, respond to shifting priorities, and work in a dynamic environment.

  • Time Management: Skill in managing one's own time and the ability to help others manage theirs effectively.
